rekoop® for Mobile

rekoop for mobile takes core business systems and extends them onto the mobile devices used by fee earners. rekoop’s native applications for BlackBerry, iPhone, iPad, and PlayBook are powerful and easy to use, and world leading in their approach and functionality.

The mobile applications offer a full bi-directional sync to the firms existing accounts system, moving desk based functionality into the palm of the hand, further empowering the user whilst on the move.

iPhone

rekoop for iPhone allows the user to view and edit their whole timesheet, and once downloaded from the App Store is easily activated, syncing in real time with their desk based system. The iPhone user interface has allowed us to create an application that looks remarkably similar to rekoop’s desktop application – another massive advantage offering a seamless user experience.

As this image on the right illustrates, time entries are colour coded, red for open time entries and green for closed. Selecting a time entry allows users to edit and close them and take advantage of clever features like narrative short codes which auto complete entire sentences having entered just a few characters.

Duration can easily be changed to either real time or billable increments, and the built in workflow engine drives a very easy to use interface that is driven by a particular client or matter. Other features like timers and matter search make this application a must have for the professional iPhone user.

BlackBerry

rekoop is the only BlackBerry client that works as standard with the BigHand and Winscribe BlackBerry clients ensuring that every dictation is billed quickly and automatically.

Not all time capture applications are the same

rekoop is an application that resides on the operating system of the BlackBerry and is NOT a web based application. This makes it very quick to use and allows it to interact with other key BlackBerry applications to self populate information into the time entry screens as required.

rekoop automatically deploys onto the BlackBerry (usually through the BES) and loads up the fee earners most frequent used or favourite client matters from the PMS, the user doesn't even have to enter a password. The application is then immediately ready to record time against those active client matters.

From within the menu screen (shown below) users can access the following;

Show entries - this displays all of the time entries for the last seven days and allows the user to open, edit, post time into the PMS as required. A simple icon highlights the time types (desktop, phone, email, calendar etc) whether the client is billable or non-billable, and provides totals for the amount of time captured each day.
Record time – allows the user to record ad-hoc time instead of writing it down on a piece of paper. Time can be entered by duration or by start/end time.
Start timer – allows the user to start a stopwatch to time a meeting or event and assign that time to a client. As the screen shot below illustrates as soon as the event is finished the time is saved into the PMS.
Manage matters – even though the fee earner most recent used matter list is imported and updated daily, rekoop allows fee earners to search the entire list of matters from the PMS and add them to their list.

Revenue – as the screen shot below (right) illustrates, rekoop can present the fee earner with a wide array of data on demand. This data is taken from the PMS in real time allowing the fee earner to see how much a current client bill is for example.
Options – the options screen allows users to change various settings such as default narrative, or remember last used matter. The system is very flexible and options can be set through this screen or via the BES.
Help – the help screen lists shortcut keys and icons used within the application.

The image below highlights the prompt displayed after a phone call - If a user decides not to record a phone call the system will still log that call on the database and this data can be used for the creation of a personal phone bill if required.

If you click ‘Yes’ the rekoop screen will automatically populate with the following: time zone, date, start time, end time, duration, client, matter, activity / UTBMS, billable tick box and narrative.

Security – if the BlackBerry is stolen all the client/matter data is stored on the BlackBerry memory so when the device is ‘killed’ from the BES all data is immediately wiped.
